Did you know Microsoft does not provide backup for your Microsoft 365 data?

It’s up to you to ensure access and control over your Exchange Online, SharePoint Online, OneDrive for Business, and Microsoft Teams data. In other words: you are responsible for long-term retention and the protection of your business-critical information.

Geo redundancy versus back-up

 

The big misunderstanding is that organizations assume that Microsoft is responsible for protecting and storing their M365 data for the long term. The “backup” and “recoverability” that Microsoft offers is absolutely not the same as a full backup.

 

By default, Microsoft offers geographic redundancy, which many people consider to be a backup. However, there is a big difference:

 

  • A backup involves taking a historical copy of the data and then storing it at a different location. Thanks to that backup, you always have direct access to it, wherever you are, and you retain control over it. If data is lost—accidentally deleted or maliciously via a cyberattack—you are able to recover it quickly.
  • Geo redundancy, on the other hand, protects against site or hardware failures. If an infrastructure crash or outage occurs, your users remain productive and are often unaware of these underlying issues.

 

6 reasons why a ​​M365 backup is crucial

 

The recycle bin is probably good enough.’ It’s a common assumption — but the reality is that the gap between losing data and actually discovering it often exceeds 140 days. That’s an eternity in business terms. By the time you realize something has gone wrong, your data may already be permanently deleted from the recycle bin.

 

According to IT professionals, these are the six most common data protection vulnerabilities:

Removing data

If an M365 user is accidentally or intentionally deleted, this action is replicated across the network, resulting in the deletion of both the OneDrive for Business account and the mailbox of this user. 

 

There are two types of deletions within the M365 platform: a soft delete and a hard delete. An example of a soft delete is emptying the ‘Deleted Items’ folder. This is also referred to as ‘Permanently Deleted’. In this case, permanent is not truly permanent because the item can still be found in the ‘Recoverable Items’ folder. A hard delete is when an item is tagged to be completely removed from the mailbox database. When this happens, it is irretrievable.

Confusion in the M365 retention policy

The fast pace of business in today’s digital age drives constant changes in the M365 platform policies — including its retention policy. This policy is often difficult to follow, let alone manage effectively. M365 offers only limited backup and retention options that can prevent data loss in certain situations. But other types of recovery, such as restoring mailbox items to a specific point in time, are not supported by Microsoft.

 

In short, with a reliable and comprehensive M365 backup solution, there are no gaps in your retention or recovery strategy.

 

Internal security threats

When we think of security risks, hackers and viruses often come to mind first. But threats can also come from within the organization — and they occur more often than you might expect. Organizations frequently fall victim to intentional or unintentional actions by employees.

 

Access to files and contacts can change over time, making it unclear who currently has the right permissions. Some employees may even attempt to delete critical business data right before leaving the organization. Others unintentionally create serious risks by downloading infected files or exposing leaked usernames and passwords on sites they thought were safe.

 

Another example is tampering with evidence: an employee who strategically deletes incriminating emails or files, putting them out of reach of legal, compliance, or HR departments.

 

External security threats

Malware and viruses — such as ransomware — have already caused serious damage to organizations worldwide. These attacks threaten not only an organization’s reputation but also the privacy and security of internal and customer data. External threats often enter through emails and attachments.

 

The limited backup and recovery features of Exchange Online are not sufficient to handle severe attacks. Regular backups ensure that a separate copy of your data remains unaffected, allowing you to restore your information quickly and securely.

 

Ensuring legal compliance

Sometimes you may unexpectedly need to retrieve emails, files, or other data in the context of legal proceedings. While Microsoft has built in certain safeguards, they are far from sufficient to fully protect you against legal issues.

 

With a robust backup solution, you can restore accidentally deleted emails or documents and ensure compliance with legal obligations.

 

Of course, legal requirements, compliance rules, and access regulations vary by industry and country — but fines, penalties, and legal disputes are risks your organization must always avoid.

 

Setting up a Microsoft Teams data structure

With the rise of remote work, Microsoft Teams experienced rapid adoption and steady growth, becoming the collaboration tool of choice for communication and productivity. Often, Teams serves as the user interface that brings together Microsoft Office with other M365 services, such as SharePoint Online and OneDrive for Business. This approach enables real-time communication and seamless collaboration among employees. But of course, the data in these locations must be well protected.

 

In addition, Microsoft Teams includes settings, configurations, and memberships that also need to be safeguarded — and restored if necessary.
