Jessa Hospital optimizes digital workplace with the M365 platform

AXI, which supports more than one hundred healthcare institutions with the implementation and optimization of their digital workplace, supported Jessa Hospital in this project. Avoiding Microsoft Teams Sprawl

 

In 2020, Jessa Hospital, the second-largest hospital in Limburg, began rolling out the M365 platform so that employees can work efficiently and focus on what matters most – care – via a centralized digital workplace.

 

However, when Microsoft Teams was rolled out, they quickly encountered one of the biggest pain points: how do we keep MS Teams use under control and up-to-date? The hospital has thousands of employees and several hundred Teams users. If everyone creates a team, it quickly leads to sprawl. The internal IT department received numerous questions about the application, users, training courses, etc., which compromised the efficient use of time.

AXI Team Governance Application

 

In response to the proliferation of MS Teams at Jessa Hospital, AXI implemented the Team Governance Application, including some additional requirements the hospital itself had identified. It provided the following benefits:

 

  • Team lifecycle management
  • Automatic channel creation (depending on team type)
  • Archiving (with search functionality)
  • Uploading previously created teams into the tool
  • Data migration (between different teams, but also between local storage and Teams) via ShareGate
  • Monitoring of shared content (with or without external parties) via ShareGate
  • Follow-up control for team owners: team owners can be held accountable for their teams via the underlying manageable list.

 

The fact that the application also works retroactively was a welcome benefit for the hospital. AXI migrates the previously created teams into the application for this purpose.
