How to make your organization Copilot-ready?
Microsoft 365 Copilot, the solution for an automated and more user-friendly Microsoft 365 experience, can take your employees' productivity to the next level. But before you get started with the new generative AI service, it's best to first follow three crucial steps to make your IT environment Copilot-ready.
STEP 1
Bring structure to your Microsoft 365 environment
Copilot uses Microsoft Graph to search your chat history in MS Teams, your emails in Outlook, and documents in Office, OneDrive, and SharePoint. This allows it to gather accurate answers and insights. To assist the smart assistant, you can add structure to your M365 environment. This allows Copilot to make better connections to specific search terms and assist you even more effectively.
A good structure in your SharePoint environment gives Copilot more opportunities to help you. This includes including and/or hiding document libraries in your search results, moving old files to an archive that Copilot does not need to find, or adding extra metadata, etc.
STEP 2
Governance and rights audit
Copilot uses Microsoft Graph to access all documents and information that have ever been shared with the logged-in user. If users have access to certain (private) files (which may have been shared with them accidentally), these will also be included as a data source by Copilot.
It is therefore crucial to thoroughly check your environment and assign the correct permissions. This will prevent Copilot from displaying sensitive information.
STEP 3
Purchase and assign licenses, activate semantic index, and organize user training
To use Copilot, you need an additional license on top of your current Microsoft licenses. To make the tool work in your environment, a few things (such as Semantic Index) need to be activated at the user level. In addition, user training is strongly recommended to get the most out of Copilot.
