5 Ways AI Will Shape Your Digital Workplace in 2025
2025 has just begun, and so at AXI, we're eagerly anticipating the new technologies and trends that will shape the digital workplace this year. We asked Digital Workplace specialist Carlo Usala to highlight five trends. What does the future hold, and more importantly, how can your workplace practically benefit from these new trends?
When we talk about the digital workplace, we can't ignore AI. According to Carlo Usala, AI will become even more useful and practical this year: "Futuristic AI prospects are one thing, but how AI will create real added value for companies in 2025 is another. I prefer to focus on the latter here. There are already many exciting things coming this year within the Microsoft 365 platform."
1. The AI companion: Copilot becomes smarter
We've known Microsoft 365 Copilot for a while now. The AI assistant is embedded in Microsoft applications like Word, Excel, Outlook, PowerPoint, and Teams, and is designed to make our lives easier and more productive.
In 2025, Microsoft will further expand this functionality. "Microsoft wants us to see their Copilot as a companion—a companion," says Carlo Usala. "The assistant will be able to help us even more with tasks or managing the daily flood of information. Copilot will become increasingly personalized and will be increasingly tailored to interactions with people."
Carlo sees a strong role for such AI companions in specialized environments, such as a service desk. For example, employees will be able to easily access comprehensive manuals to provide quick and targeted advice or assistance.
2. AI agents: the apps of the AI era?
While an AI companion will primarily interact with the user, an AI agent will be more focused on performing defined tasks. AI agents will be able to make autonomous decisions and perform targeted functions, which could have a major impact on various sectors.
“AI agents are currently being hyped as the apps of the AI era,” says Carlo Usala. “Currently, there's still some uncertainty about what these AI agents will actually do, but in the short term, it's quite possible they'll be able to handle defined, repetitive tasks, relieving time-consuming work from humans. Think of scheduling meetings, preparing emails, summarizing meeting notes, or processing incoming invoices.”
3. AI in security: proactively detecting threats
AI will play an increasingly important role in corporate cybersecurity. Modern AI systems can analyze millions of network requests and activities daily, allowing security issues to be detected and resolved much faster.
“AI agents make cybersecurity proactive instead of reactive,” says Carlo Usala. “They relieve users of repetitive, time-consuming security tasks and enable them to focus more on strategic tasks.”
AI identifies vulnerabilities, recommends actions, and automates responses, allowing threats to be detected and stopped more quickly. This makes cybersecurity not only more efficient but also smarter.

4. The next-generation collaboration tools
Collaboration tools will become more intelligent and effective in 2025 thanks to AI, with Microsoft Teams being the prime example. Think of real-time transcriptions, automatic summaries, or contextual recommendations during meetings.
Other examples include Microsoft Loop, which uses AI to adapt dynamic content blocks based on the context of the conversation. And there's OneDrive, which uses AI to automatically organize files and provide more relevant search results.
"The workplace of 2025 will revolve around easier collaboration," says Carlo Usala. "With the new generation of tools, information isn't just shared, but made instantly usable."
5. AI becomes more energy efficient
The high energy consumption of AI has long been a hot topic. To address this, companies like Microsoft want to offer energy-efficient AI and hardware. In November 2024, Microsoft launched its Windows 365 Link, a compact, energy-efficient PC specifically (and solely) designed to connect to the cloud, eliminating power-hungry local hardware.
But AI also needs to be more efficient, Microsoft believes. The new generation of Copilot PCs, for example, is specifically designed to run local AI functions more efficiently, with a focus on sustainability and performance.
